3. Information processed on your device

Depending on how you use FleetCheck, the app may process:

• Profile information: the identifier, name, email address, role, employee number and phone number associated with a selected demo or work profile.
• Vehicle and inspection information: vehicle details, odometer readings, checklist answers, inspection dates and times, and pass, fail or not-applicable results.
• Defect information: failed checklist items, severity, comments, status and resolution details.
• Signature information: a signature drawn on screen and attached to an inspection.
• App settings: the last selected profile, theme choice and offline-mode preference.
• Exported reports: PDF or CSV reports that you ask the app to create.

The current release includes fictional demonstration profiles, vehicles and records. It does not create a remote account. A password entered on the sign-in screen is checked locally, is not sent to us, and is not stored by the app.

4. How the information is used

FleetCheck uses this information on your device to:

• identify the active profile and display the appropriate role-based screens;
• guide and record vehicle inspections;
• create defect records from failed inspection items;
• display inspection, vehicle, maintenance and defect information;
• remember app settings; and
• generate reports when you request them.

We do not use this on-device information for advertising, profiling or cross-app tracking.

5. Collection, sharing and third parties

FleetCheck makes no network requests and does not automatically transmit app information to GMD Holdco, an employer, an analytics provider, an advertising network or any other third party.

When you choose to export a report, FleetCheck creates a PDF or CSV file in the app’s temporary cache and opens the device’s system share sheet. You decide which person, app or service receives the file. The recipient’s handling of the file is governed by their own privacy practices and, where relevant, your employer’s policies. GMD Holdco does not receive a copy unless you deliberately send it to us.

Your operating-system provider may back up persistent app settings as part of a device backup if backups are enabled. Those backups are controlled by you and the platform provider, not by GMD Holdco.

Apple and Google may independently process information about app downloads, purchases, diagnostics or store usage under their own privacy policies. That information is not collected through FleetCheck and is not covered by this policy.

6. Device permissions and sensitive device data

The current version of FleetCheck does not request or use access to your:

• precise or approximate location;
• camera or photo library;
• microphone;
• contacts; or
• advertising identifier.

FleetCheck does not use cookies or similar web-tracking technologies.

7. Storage, security and retention

FleetCheck relies on the security controls of your device and operating system. You should protect your device with a passcode or equivalent security measure and share exported reports only with intended recipients.

In the current release:

• the selected profile identifier and app preferences remain in device storage until you sign out, change the setting, clear the app’s data or uninstall the app;
• inspections, signatures and defects created during use are held in the app’s working memory and are not retained after the app process restarts; and
• exported report files remain in the app’s temporary cache until the operating system clears them or the app is uninstalled. Copies shared elsewhere remain under the recipient’s control.

Device backups may retain persistent settings for longer, according to your platform and backup settings.

8. Your choices and rights

Because GMD Holdco does not receive the information stored by FleetCheck, we cannot access, correct or delete that on-device information for you. You can:

• sign out to remove the stored profile identifier;
• clear FleetCheck’s app data in your device settings, where supported;
• delete exported files from the locations to which you saved or shared them; and
• uninstall FleetCheck to remove its app data from the device, subject to any device backups or copies shared elsewhere.

If you contact us by email, we receive your email address and the contents of your message. We use that information to respond to you and keep it only for as long as reasonably necessary for support, legal or record-keeping purposes. You may ask us to access, correct or delete that correspondence by emailing leroy@gmdholdco.com, subject to any legal retention requirements.

If South Africa’s Protection of Personal Information Act, 2013 (POPIA) or another applicable law gives you additional rights, you may exercise them by contacting us. You may also lodge a POPIA complaint with the Information Regulator (South Africa).

9. Workplace use

If your employer or another organisation provides FleetCheck to you, that organisation may set its own rules for inspection records and may be responsible for personal information it asks you to enter, export or share. Contact that organisation for questions about its practices. FleetCheck does not automatically send records to the organisation.

10. Children’s privacy

FleetCheck is an occupational tool intended for commercial drivers, fleet managers, supervisors and mechanics. It is not directed to children, and we do not knowingly collect children’s personal information through the app.

11. Changes to this policy

We may update this policy if FleetCheck’s features or data practices change. We will post the revised policy and change the “Last updated” date. If a future release adds a backend, real user accounts, location access, photo capture, analytics or other data collection, we will update this policy and the relevant app-store disclosures before releasing that version.
